This module specifies the processes, roles and responsibilities associated with the management of documentation as part of the Governance of Railway Investment Projects (GRIP) project delivery framework.

This module is part of the Portfolio, Programme and Project Management (P3M) framework and relates to NR/L2/INI/P3M/101, it also supports NR/L2/INF/02220. It applies to all projects and programmes that require Investment Authority, as defined within IR01, Investment Regulations, and:

a) enhance or renew the operational railway; and / or

b) are carried out in a high street environment, e.g. car park developments.

This module specifies requirements for controlled and uncontrolled document development and distribution, archive and hand back. This includes attachments to documents.

Purpose

The purpose of this module is to define and mandate the processes for managing documentation of all kinds, from initial concept to close out. This module forms part of the Project, Programme and Portfolio (P3M) framework, within which its objectives are to:

a) demonstrate that appropriate attention is given to the management and control of documentation;

b) provide a standardised governance framework within the organisation; and

c) provide a single point of reference on the processes relating to the management of documentation.

The approach is based on best practice within industries that undertake major infrastructure projects and practice recommended by the major professional bodies. Implementation of this module will reduce the reputational and financial risk related to the delivery of complex projects.

This module supports the progressive adoption of the BS1192 document referencing system on all projects and is a fundamental requirement of applying Building Information Modelling (BIM) on projects.
